đĽď¸ For providers using the Oasys web app. Practice admins manage practice-wide feature settings for their providers in Practice HQ.
This article explains the switches on your Feature settings page: what each one controls, where it shows up, and what changes when you turn it off. It also covers settings your practice controls and the switches you can set for one client at a time.
In this article
1. Opening your feature settings
All of your feature switches live on one page.
Click Settings in the sidebar.
Click Feature settings, under Clinical.
Click the switch next to the setting you want to change.
Confirm in the dialog that opens. It tells you what turning the setting on or off will do. Click Enable Feature or Disable Feature (or Enable or Disable, depending on the setting).
The page is grouped into Terminology, AI settings, a features section for your clients, and Therapist features. You only see the settings that are available on your account, so your page may show fewer sections than this article describes.
â Good to know: These settings decide which tools appear in Oasys for you and your clients. They aren't a way to control who can access information. If you have a question about data access, contact Oasys support.
2. Patients or clients
Choose the word Oasys uses for the people you work with.
Under Terminology, find How you refer to the people you work with.
Pick Patients or Clients. The change saves straight away and updates labels across the platform, for example My clients in your sidebar.
If the row says "This setting is configured by your practice," your practice has chosen the word for everyone and you can't change it.
3. AI settings
The AI settings section controls the AI tools that help with your notes and session prep.
Setting | What it controls | When off |
AI Copilot | Prep notes and the Copilot chat, on your client list and during sessions. | The Copilot panel is hidden, the Prep Notes and Copilot tabs are hidden during sessions, and prep notes stop being generated before appointments. You can still write and sign notes as normal. |
AI Progress Notes | AI-assisted notes created automatically after completed sessions. | No AI-generated session notes. You can still run video and in-person sessions, log sessions manually, and write your own notes. |
Session analysis | AI insights and client mood scores generated after each session. | No insights or mood scores for sessions after you turn it off. Sessions that already have analysis keep it. |
Auto-start transcription | Whether AI transcription starts by itself when you join a video session. | Transcription doesn't start on its own. You can still start it with Transcribe in the session toolbar. |
AI Progress Notes and Session Analysis are separate. You can keep one on and turn the other off.
If you stop transcription during a session, the AI note has no transcript to work from for that part of the session.
For how AI notes and transcription work in practice, see Writing session notes & using scribe.
â ď¸ Important: Oasys never records sessions. It only transcribes them, and the transcript is deleted once the note is signed and locked.
4. Client features
This section controls tools your clients see in their portal. It's called Client features or Patient features, depending on your terminology setting.
Setting | What it controls | When off |
Patient Health Stats | Lets your clients view health data from connected wearables and devices. | The Health Stats tab and the health data widgets are hidden from all your clients' dashboards. |
Patient Mood Journal | Lets your clients track their mood with journal entries and see mood patterns. | The Mood Journal tab and mood check-in prompts are hidden from all your clients, and they can't add mood entries in Oasys. |
These switches apply to all of your clients at once. Everything else on their dashboard stays the same.
You can turn either one back on at any time.
To see the health and mood data your clients share, see Health & progress tracking.
5. Group therapy sessions
The Therapist features section holds Group Therapy Sessions, which turns on the tools for running therapy groups.
When it's on, you can manage therapy groups, schedule group appointments, and create a clinical note for each participant in group and family therapy sessions.
Group tools appear in your sidebar (Groups), on your calendar, and in your service settings.
When it's off, Groups is hidden from your sidebar, the Group Appointment option is removed from the calendar, and group service types are hidden from your service settings. Individual sessions work as normal.
The section only appears if group sessions are available on your account.
For running groups, see Groups, Families, Couples & Minors.
6. Settings your practice controls
If you belong to a practice, some of these settings may be set for you.
A switch that's grayed out, with the message "This has been turned off by your practice," has been turned off for you by a practice admin. You can see it, but you can't turn it back on.
Your practice can turn a feature off for you. You can also turn off a feature your practice allows, for yourself.
Some features aren't included in your practice role. Those don't appear on the page at all.
If nothing can be changed, the page says "No customizable features are available for your account at this time," or asks you to contact your practice administrator.
đĄ Tip: Whether clients are asked for insurance when they sign up isn't on this page. It's in Billing â Billing setup â Insurance billing, as Collect insurance details during client onboarding. Your practice can't turn that one off for you. See Setting up billing.
7. Settings for one client
A few switches apply to a single client instead of your whole caseload.
Open the client from My clients.
Click the gear icon at the top of their page, then click Preferences.
Turn the switches you need on or off.
AI Session Notes â whether transcription starts by itself in this client's video sessions. It only appears while your own Auto-start transcription is on.
Diary Cards â lets this client fill out daily DBT diary cards. It appears if your practice has diary cards turned on, and it's off for each client until you turn it on.
Messaging â whether this client can send you messages. If you turn it off, they can't message you.
Billing Type â Insurance, Cash Pay, or Not Billed for this client. See Setting up billing.
Frequently asked questions
Why is a switch grayed out?
Hover over it. "This has been turned off by your practice" means a practice admin turned it off for you. For Group Therapy Sessions, the message may say group sessions aren't available for your account. Contact your practice admin if you think you need access.
Does turning off AI Progress Notes stop transcription?
No. Transcription has its own switch, Auto-start transcription, and you can always start or stop it with Transcribe during a video session.
If I turn off Session Analysis, do I lose past insights?
No. Sessions that already have analysis keep their insights. Only sessions after you turn it off go without analysis.
Does turning off Patient Mood Journal apply to all my clients?
Yes. The client features switches apply to all of your clients at once. For settings that apply to one client, use Preferences on that client's page.
Why don't I see some of the settings in this article?
The page only shows settings that are available on your account and in your practice role. If you expected to see a setting, contact your practice admin or Oasys support.
