Messaging your clients

How to use HIPAA-compliant messaging to communicate securely with your clients.

Oasys includes built-in HIPAA-compliant messaging so you can communicate securely with your clients — no need for a separate messaging app.

In this article:

1. Sending a message

  1. Go to the Messages tab.

  2. Select a client from your conversation list (or start a new conversation).

  3. Type your message in the text editor and press Send (Ctrl+Enter on desktop).

Messages support rich text formatting including bold, italic, links, and lists.

2. Conversation list

Your messaging tab shows all client conversations:

  • Each conversation shows the client name, last message preview, and timestamp.

  • Unread badges appear next to clients with new messages.

  • An online indicator shows if the client has been active in the last 5 minutes.

  • For child accounts, the conversation shows the guardian's name with a note indicating they are the guardian.

3. Message features

  • Rich text — format messages with bold, italic, headings, and lists using the editor toolbar.

  • Read receipts — you can see when a client has read your message.

  • Draft persistence — if you start typing and navigate away, your draft is saved automatically.

  • Auto-scroll — new messages scroll into view automatically unless you've scrolled up to read history.

4. Enabling or disabling messaging

You can control messaging on a per-client basis:

  1. Open the client's profile and go to Preferences.

  2. Toggle Messaging on or off.

When messaging is disabled for a client, the conversation input is locked with an overlay indicating messaging is turned off.

5. Clients who haven't signed up yet

If you've created a client record but they haven't completed signup, you'll see a notice:

💡 "Client hasn't signed up yet. They will receive your messages once they create their account."

Messages you send will be waiting for them when they log in for the first time.


Frequently asked questions

  • Is messaging HIPAA-compliant?
    Yes. All messages are encrypted and delivered in real time via WebSocket with automatic fallback to polling if the connection drops.

  • Can clients message me first?
    Yes, once they've signed up and messaging is enabled for them.

  • Can I send attachments?
    The messaging system supports text-based messages with rich formatting. File sharing is handled through the Documents feature.

  • Can I disable messaging for all clients at once?
    Messaging is toggled per client. There's no global toggle to disable it for everyone.
