Getting started with Oasys

Everything you need to go from signing up to seeing your first client: account setup, profile, availability, billing, and more.

Welcome to Oasys! This guide walks you through everything you need to set up your account and start seeing clients. Most therapists complete the full setup in under 30 minutes.

Here's what you'll do:

1. Complete your application

When you first sign up, you'll fill out a short application with a few key details:

  • Your name and license information (type, state, and number)

  • How you heard about Oasys

  • An optional professional profile URL (e.g., your Psychology Today listing)

  • Agreement to the Terms of Service and Privacy Policy

After submitting, your application goes to our team for review. You'll see a confirmation page with an estimated turnaround of 24 hours.

2. Set up your profile

Once you're approved, head to the My Profile tab to fill in your professional details. This is what clients and colleagues see, so it's worth taking a few minutes to make it complete.

What to fill in:

  • Profile picture β€” upload a professional photo

  • Personal details β€” title, date of birth, email, and phone number

  • Licenses β€” add one or more (each with type, number, and state)

  • Professional details β€” years of experience, education, therapy types, specializations, and languages

  • Public profile toggle β€” controls whether clients can find you in search results. Turn this off if you only see clients by referral.

πŸ’‘ Tip: You can always come back and update your profile later. But completing it now means your information is ready when you start adding clients.

3. Choose your terminology

Oasys lets you choose whether to refer to the people you work with as "Patients" or "Clients" throughout the entire platform. This changes every label: "My Patients" becomes "My Clients," and so on.

Where to find it: Go to Settings β†’ Clinical β†’ Feature Settings. The Terminology card is at the top of the page.

⚠️ Part of a practice? This setting may be locked by your practice admin. If you see "This setting is configured by your practice," contact your admin to change it.

4. Configure your availability

Your availability determines when clients can book with you and when sessions appear on your calendar.

Where to find it: Go to Settings β†’ Scheduling β†’ Availability.

What to set up:

  • Your timezone β€” all scheduling is based on this

  • Weekly schedule β€” for each day of the week, add the time blocks when you're available (e.g., Monday 9am–12pm, 1pm–5pm)

  • Separate schedules (optional) β€” toggle this on if you want different hours for in-person vs. telehealth appointments

  • Date overrides (optional) β€” block specific dates for vacation, sick days, or other time off

πŸ’‘ Tip: You don't need to get this perfect right away. You can adjust your availability at any time, and changes take effect immediately for future bookings.

5. Connect your calendar

Connecting your Google Calendar lets Oasys check for conflicts and prevent double-booking. This is highly recommended.

Where to find it: Go to Settings β†’ Scheduling β†’ Calendar Integrations.

How to connect:

  1. Click Connect Google Calendar and sign in with your Google account.

  2. Select which calendars Oasys should read (e.g., your work calendar, personal calendar).

  3. Optionally enable Show client initials in synced calendar events, which is recommended for privacy.

πŸ’‘ Good to know: Oasys reads your Google Calendar to check for busy times, but it won't modify or delete any of your existing events. Apple Calendar and Outlook integrations are coming soon.

6. Set up payment processing

To collect payments from clients, you'll connect a Stripe account. This is where client payments go, directly to your bank account.

Where to find it: Go to the Billing tab β†’ Setup β†’ Billing Setup β†’ Payment Processing.

How to set it up:

  1. Click Connect Stripe Account.

  2. Complete Stripe's onboarding: you'll enter your business info, banking details, and tax ID. Takes about 5 minutes.

  3. Once complete, you'll see a green Active status with checkmarks for Accept Payments, Receive Payouts, and Account Details.

⚠️ Important: This is not the same as your Oasys subscription. Payment processing (in the Billing tab) is how you collect money from clients. Your Oasys subscription (in Settings β†’ Subscription & Fees) manages your platform plan.

πŸ’‘ Part of a practice? Payment processing may be managed at the practice level. If so, you'll see a read-only status showing your practice's Stripe connection.

7. Define your services

Services are the types of sessions you offer. They determine the options clients see when booking and the defaults used for billing.

Where to find it: Go to Settings β†’ Scheduling β†’ Default Services.

For each service, you'll set:

  • Service name β€” e.g., "Individual Therapy," "Initial Consultation"

  • Duration β€” how long the session is (e.g., 50 minutes)

  • Session mode β€” Telehealth (video), In-Person, Phone, or All

  • Default pricing β€” the standard rate for this service

  • CPT code β€” for billing and insurance purposes (e.g., 90834)

These services appear as options when you or your clients book appointments.

8. Configure notifications

Choose how you want to be notified about appointments, client activity, and billing events.

Where to find it: Go to Settings β†’ Notifications.

Options:

  • Email notifications β€” appointment reminders, new client signups, billing activity, and more

  • SMS notifications β€” requires verifying your phone number first


Frequently asked questions

  • How long does account approval take?
    Most applications are reviewed within 24 hours. You'll receive an email when you're approved, or you can check back on the confirmation page. It auto-redirects when your account is ready.

  • Can I start setting things up before I'm approved?
    Not yet. The full dashboard is only available after approval. But you can schedule a demo call while you wait to get familiar with the platform.

  • I'm part of a practice, do I still need to do all of this?
    Some settings (like terminology, payment processing, and services) may be managed by your practice admin. You'll still want to complete your personal profile, set your availability, and connect your calendar.

  • Can I change my availability or services later?
    Absolutely. All settings can be updated at any time. Changes to availability take effect immediately for future bookings.

  • Do I need to connect Google Calendar?
    It's not required, but recommended. Without it, Oasys can't check for conflicts with your other commitments, which increases the risk of double-booking.
