đĽď¸ For providers using the Oasys web app. Practice admins have a separate Practice HQ home for practice-wide work.
This article explains your Home dashboard, the first thing you see when you log in, and how to get around the rest of Oasys. It covers your upcoming sessions, action items and requests, quick links, your to-do list, the onboarding checklist, and the sidebar, search, top bar, and settings.
In this article
1. Upcoming sessions
The Upcoming sessions panel at the top of your dashboard shows your next sessions: today's schedule, or tomorrow's if you have nothing left today.
Click View calendar to open the Calendar tab.
Your next session is shown as a card with the client name, time, and session mode (video, in-person, or phone). Up to two more sessions are listed below it. Click +N more sessions to see the rest.
Status indicators show whether sessions are upcoming, in progress, completed, cancelled, or a no show.
Click any other session in the list to open it on your calendar.
If there's nothing to show, you'll see "No sessions scheduled for today or tomorrow" or "All sessions for today have been completed."
Starting a session from the dashboard
The start button appears from 15 minutes before the session until its scheduled end time.
It's labelled for the session mode: Start Video, Start in-person, or Log session.
For phone sessions, the button reads Log session, because phone appointments are logged after the call rather than started live.
To run a different type of session (for example, in-person instead of telehealth), use the dropdown next to the button. Only the modes allowed by the session's service can be picked.
If you already started the session and left it, the button reads Join Session so you can pick up where you left off.
Co-facilitators of a group telehealth session see Join Video.
For the full walkthrough, see Conducting a session.
â Good to know: Dashboard data is refreshed each time you open the Home tab.
2. Action items
The Action items panel highlights pending items that need your attention.
Each card shows a count, or an all-clear message (such as All caught up or Inbox clear) when there's nothing to do.
Click any card to go straight to the relevant place.
The panel is only visible on a desktop-size screen.
The cards
Notes to sign: completed sessions with unsigned notes. Opens a panel on the dashboard where you can review and sign them.
Overdue docs: assessments or forms you assigned to clients that are past due. Opens an Overdue documents panel where you can send a reminder or jump to the client's documents. Only visible when the Documents feature is turned on.
Unbilled sessions: completed sessions that haven't been invoiced or claimed yet. Opens Billing â Bill sessions. Shows Setup required if payment processing isn't set up yet. Only visible when billing is turned on for your account.
Unread messages: messages from clients in secure messaging that you haven't read. Opens Messages. Only visible when secure messaging is turned on.
Pending reviews: if you're a supervisor, supervisee session notes awaiting your review plus documents awaiting your supervisor signature. Opens the Supervision tab.
Expiring treatment plans: treatment plans that need renewal. Appears only when you have one or more. Opens a panel where you can jump to the client's treatment plan.
Pending requirements: compliance requirements awaiting action. Opens the Compliance tab. Shown whenever your account has compliance requirements turned on, even when the count is zero.
Practice admins: the practice-wide action items on the Practice HQ home are a separate view, covered in the Practice HQ guide.
3. Client requests
This alert tells you when people have asked to connect with you as their provider.
An alert such as "2 new client requests waiting for approval" appears at the bottom of the Action items panel.
Click Review to approve or deny each request.
Invitations you sent that are awaiting the client's response are not shown here.
4. Appointment requests
This alert tells you when clients have requested appointments that need your approval.
An alert such as "3 actions need review" appears at the bottom of the Action items panel.
Click Review to open the Calendar tab's pending approvals, where you can approve or decline each requested appointment.
đĄ Tip: This is a separate alert from client requests, which also has a Review button. Client requests are people asking to connect with you; this one is for appointment requests.
5. Quick links
The Quick links panel gives you one-click shortcuts to common tasks.
Add client opens the My clients tab with the add-client dialog already open.
Create appointment opens the Calendar with the appointment dialog already open.
Help center opens the help.oasys.health site in another tab.
6. Personal to-do list
The Personal to-do list is a private scratchpad for your own reminders. It isn't shared with clients or your practice.
Add a task: type in the "Add a new task..." box and press Enter or click the + button (up to 300 characters).
Mark a task done: click its checkbox. Completed tasks are struck through and move to the bottom.
Edit a task: hover over it and click the edit icon, then save.
Delete a task: hover over it and click the trash icon.
Recover a task: click View deleted tasks at the bottom of the list, then restore it, or delete it permanently.
7. Onboarding checklist
If you're an independent provider who hasn't finished setting up, a Getting started checklist appears at the top of the dashboard.
The items are Complete your profile, Add your first client, Review service types, Schedule your first session, and (if billing is turned on) Configure your billing setup.
Items tick themselves off as you complete them. Click one for a short guide with Got it and Skip this step.
The checklist and the Finish Setup button in the top bar are only shown to independent providers who haven't completed onboarding. Practice members never see them.
For the full walkthrough, see Getting started with Oasys.
8. Getting around Oasys
Use the sidebar, search, and top bar to move around Oasys.
The sidebar
The left sidebar holds your main tabs. Which ones you see depends on the features turned on for your account (see Turning features on and off):
Home, My clients (or My patients, depending on your terminology setting)
Groups (if group therapy is turned on), Waitlist (if turned on; see Using the waitlist), Supervision (if you're a supervisor), Calendar
Analytics, Messages, Documents, Compliance, Billing (each only if turned on for your account)
Settings and My profile
If you're on the Free plan, the sidebar also shows Upgrade to unlock unlimited clients.
Search
Click Search... at the top of the screen, or press âK (Mac) or Ctrl+K (Windows). You can search for:
Clients by name, email, or phone number. To search by phone, type at least 4 digits. Spaces, dashes, and brackets don't matter, and the matching phone number shows in the result. Archived clients are included and open in the archived view.
Pages, including every Settings section and Billing section.
Quick Actions: Schedule Appointment, Create Invoice (if billing is turned on and you can manage invoices), Help Center, and Contact Support.
Pages and actions you've used lately appear under Recent.
The top bar
Practice HQ: if you're also a practice admin or practice manager, this switches you to Practice HQ.
Finish Setup: shown to independent providers until onboarding is complete.
Notifications (bell icon): shows progress and results of work running in the background, such as sending invoices, submitting claims, generating a document template or treatment plan, and exporting session notes, plus trial reminders. A red dot means you have notifications.
Help (question-mark icon): Help Center or Contact Us.
Gear icon: Profile, Settings, and Log out.
Getting help from Oasys
Use the Help menu to read help articles or reach the Oasys support team.
Click the Help (question-mark) icon in the top bar, then Help Center to open the help articles, or Contact Us to open the support chat.
On a phone-size screen, Contact Us is in the gear menu instead.
You can also press âK (Mac) or Ctrl+K (Windows) and choose Contact Support.
The chat button only shows while the chat is open or when you have an unread reply. It's hidden while you're in a session.
If the chat can't load, Contact Us opens a Contact Support form. Describe the issue, attach screenshots if they help, and click Submit Request.
The assistant in the chat answers from the help articles. It can't see your account, so ask for a person for anything about your own data:
A specific claim, remittance, invoice or payment, or a billing dispute.
Missing data, error messages, or anything that looks like a bug.
Moving data over from another system.
Feature requests.
â ď¸ Important: Use a client's initials, not their full name or date of birth, when you contact support. Include the claim or invoice number and a screenshot if you have one. If you or a client is in crisis, don't wait for a reply: call or text 988, or call your local emergency services.
Settings
Settings are grouped in the left rail. You'll see only the sections turned on for your account:
Scheduling: Default services, Availability, Scheduling policies, Calendar integrations, Scheduling widget (see Scheduling settings)
Clinical: Feature settings (including Terminology), Note templates
Notifications: Notifications
Account: Theme & branding, Subscription (or Subscription & fees), Referrals, Account (timezone, password, two-factor authentication, data export, account deletion)
On a phone
On a phone-size screen, the dashboard shows a notice that billing, documents, and the full toolkit live on desktop. The Action items panel isn't shown on smaller screens.
