đĽď¸ For practices in Charter School mode. This article is for interns and associate therapists whose session notes are reviewed by a supervisor.
This article explains what is different for you as an intern or associate in a Charter School practice: which roles need supervision, which AI tools are switched off for interns, how you work with students, and how your notes go to your supervisor for review.
In this article
1. Roles in a Charter School practice
This section explains which roles supervise and which roles need supervision. Your practice admin sets your role in Practice HQ.
Role | Supervision (default) | AI tools in Charter School mode |
Admin/Director | Can supervise | As set for your practice |
Licensed Clinician | Can supervise | As set for your practice |
Clinical Supervisor | Can supervise | As set for your practice |
Associate Therapist | Needs supervision | As set for your practice |
Intern | Needs supervision | Switched off |
These are the default supervision lists. Your practice admin can change which roles supervise and which need supervision in Practice HQ.
If your role needs supervision, every session note you sign goes to your supervisor for review.
Only the Intern role has AI tools switched off. Associate therapists are supervised, but their AI tools follow the practice's settings.
2. AI tools that are off for interns
This section explains what interns don't see in Charter School mode. When Charter School mode is on, Oasys switches off three AI features for the Intern role.
AI-generated notes (Scribe): Oasys doesn't draft your clinical note. You write it yourself.
AI session insights: the Analysis tab doesn't appear on your sessions.
The AI assistant: the Copilot button doesn't appear in sessions, the AI Copilot panel doesn't appear on your dashboard, and Prep Notes aren't generated for you. You may still see a Prep Notes button, but it doesn't produce notes.
Writing your note
Open the completed session. The Clinical Note tab shows "No clinical note yet".
Click Add Clinical Note.
Write the note in your default format. In Charter School mode the default is GIRP, unless your practice requires a specific note template.
â ď¸ Important: Interns can't switch these AI features back on. Turning them on is refused for the Intern role, both from your own settings and from your practice's per-provider feature controls. If you have questions about this, contact Oasys support.
3. Working with students
This section explains how you find and see students. As an intern, you work with students the same way as any other clinician in your practice.
You can open and run sessions for any active student in the practice, not only the ones on your caseload. To reach a student who isn't on your client list, search for them in Quick intake and click Add to my list.
Your client list has All, Caseload and Walk-ins filters. Caseload students are the ones you're assigned to. Walk-ins are students on your list who aren't on your own caseload, including students on a colleague's caseload.
You add new students with Quick intake, and change who a student is assigned to with Switch Assignment.
Psychotherapy notes on a student are shared with everyone in the practice who can open that student.
For the details, see Adding a student with Quick intake and Caseload, walk-ins and switching assignment.
4. Submitting your notes for review
This section walks through how your notes reach your supervisor. The review steps are the same as in any practice that uses supervision.
Finish your note and click Sign and Submit for Review.
Check the supervisor shown in the dialog. If you have more than one supervisor and none is primary, choose one from the Supervisor list.
Click Submit for Review. The note is signed, and you can't edit it while it's waiting for review.
Revise the note if your supervisor asks. Its status becomes Needs Revision, and their comments show under Supervisor Feedback. Click Edit, make your changes, then click Resubmit for Review.
Check the status. When your supervisor approves the note, it shows Approved.
If the dialog says "No eligible clinical supervisor is currently available for this session.", you don't have an active supervisor yet. Ask your practice admin to set up your supervision assignment.
If your practice has bulk signing turned on, Bulk Sign submits all your unsigned notes for review at once.
In Charter School mode there's no notifications bell in the top bar. Check each session's status to see whether your supervisor has reviewed it.
đĄ Tip: For the full review workflow, including what each status means, see Supervision.
Frequently asked questions
Why don't I see AI notes or Copilot, or get Prep Notes?
Your role is Intern, and in Charter School mode those AI features are switched off for interns. Neither you nor your practice can turn them back on. You write your notes yourself with Add Clinical Note.
I'm an associate therapist. Are my AI tools off too?
No. Only the Intern role has AI tools switched off. Your notes still go to your supervisor for review.
My role changed from Intern to Associate Therapist. What changes?
You still need supervision by default, but the intern AI restriction no longer applies. Your AI tools then follow your practice's settings.
Can I sign and lock a note without sending it for review?
No. While your role needs supervision, signing a note always sends it to your supervisor.
Can I see students who aren't on my caseload?
Yes. In Charter School mode every clinician in the practice, including interns, can open any active student. Use the All or Walk-ins filter to see students on your list who aren't on your caseload. To find a student who isn't on your list yet, search for them in Quick intake and click Add to my list.
