Supervising interns in a school practice

How supervisors see supervisees' students, review and approve notes, and what differs from regular supervision in Charter School mode.

Written by Jana Hindiyeh

🖥️ For practices in Charter School mode. This article is for supervisors who review interns' and associates' notes, and for school admins who set up supervision in Practice HQ.

This article explains how supervision works in a Charter School practice: who sets it up, how you see your supervisees' students, how you review and approve notes, and what is different from supervision in a regular practice.

In this article

1. Who sets up supervision

This section explains who creates supervision assignments. Setup works the same way as in any practice, from Practice HQ.

  • A practice admin with the Supervision permission sets it up in Practice HQ → Supervision. Owners and admins have this permission by default.

  • By default, Admin/Director, Licensed Clinician and Clinical Supervisor can supervise. Associate Therapist and Intern need supervision.

  • The admin pairs each supervisor with a supervisee using New assignment.

  • Supervision has to be turned on for your practice by Oasys. Until it is, Supervision doesn't appear in Practice HQ.

For the step-by-step setup, including review deadlines and multiple supervisors, see Setting up clinical supervision.

⚠️ Important: Set up an intern's supervision assignment before they start writing notes. Until they have an active supervisor, they can't submit notes for review.

2. Your supervisees' students

This section shows how you see the students your supervisee works with.

  1. Click Supervision in your left sidebar.

  2. Select a supervisee. Their caseload list shows the students they work with.

  3. Use the All, Caseload and Walk-ins filters to narrow the list.

  4. Click a student to open their details. The Client Info tab shows school details, and the Clinical tab shows clinical history.

  • Caseload shows students your supervisee is assigned to.

  • Walk-ins shows students who aren't on your supervisee's caseload but whom they've had sessions with. In the All view, these are marked Walk-in.

  • The details you see here are read-only.

✅ Good to know: As a clinician in a Charter School practice, you can also open any active student's chart. If a student isn't on your own client list, search for them in Quick intake and click Add to my list first. The supervision list is there to show you the students tied to your supervisee's work.

3. Reviewing and approving notes

This section covers the review steps. They are the same as standard supervision.

  1. Open Supervision. The badge on it shows how many items need your action, and the Supervision Dashboard shows Pending review, Overdue notes and Documents to sign.

  2. Select a supervisee and open a note from Sessions to Review.

  3. Read the note, along with the Risk Assessment and Mental Status Exam if they were entered.

  4. Click Approve Session, or click Request Revision and add a comment explaining what to change.

  • A revised note comes back to you with the status Resubmitted.

  • Only the supervisor a note was submitted to can approve it.

  • If your practice has bulk approval turned on, the Pending filter shows Approve All for the selected supervisee. Admins turn this on in Practice HQ → Settings → Feature settings → Bulk sign-off.

For the full workflow, including document co-signing, see Supervision.
