School groups and community outreach

How to create school groups, document group sessions and log community outreach events, if your practice has them turned on.

Written by Jana Hindiyeh

🖥️ For practices in Charter School mode. This article is for clinicians who run school groups or log community outreach, if your practice has these turned on.

This article shows you how to set up a school group, document its sessions, and log community outreach events for your school.

In this article

1. Before you start

School groups and community outreach are add-ons. Each is turned on separately for your practice by Oasys.

  • If your practice has school groups turned on, you'll see Groups in your sidebar.

  • If your practice has community outreach turned on, you'll see Community in your sidebar (Outreach on smaller screens when the sidebar is collapsed).

  • If you don't see one you need, ask your school admin to contact Oasys support.

⚠️ Important: School groups and outreach events record numbers, not names. They aren't linked to individual student records, so document one-to-one work in the student's own chart.

2. Creating a school group

Groups are shared across your practice. The Practice Groups list shows every group at your school, whoever created it.

  1. Click Groups in your sidebar.

  2. Click Create New Group.

  3. Enter a Group Name.

  4. Choose a Group Type: Open Group (new members can join anytime) or Closed Group (fixed membership, no new members after start).

  5. Enter the Number of Attendees.

  6. Choose the School.

  7. Describe the group's Purpose and, if you want, its Topic/Narrative.

  8. Click Create Group.

  • Every field except Topic/Narrative is required.

  • Use Search groups... or the All Schools filter to find a group.

  • Only the clinician who created a group can change it, using Edit Details.

3. Documenting group sessions

Each group keeps its own session notes. You write them by hand: there's no transcription or AI note for a group session.

  1. Open the group from Practice Groups.

  2. Click Add Session Note.

  3. Enter the Session Date and the Number of Attendees.

  4. Fill in Goal of This Session and Description & Interventions.

  5. Add a Plan for Next Session if you want.

  6. Click Save Note.

  • Any clinician at your practice can add a session note to any group.

  • You can edit or delete only the session notes you wrote.

  • A group session note records how many students attended, not who they were.

4. Logging community outreach events

Use Community to log Community Outreach Services (COS) events, such as workshops or awareness days at your school.

  1. Click Community in your sidebar. The Community outreach services page opens.

  2. Click Log new event.

  3. Enter the Event Name and Date.

  4. Add a Start Time (optional) and End Time (optional) if you want.

  5. Enter the Number of Attendees and choose the Associated School.

  6. Describe what happened in Event Details if you want, then click Log Event.

  • The list shows outreach events from across your practice. Click an event to see its details, including who created it.

  • Use Search events..., the All Schools filter and the date filter to narrow the list.

  • The date filter starts on the current academic year, which runs from August 1 to July 31. You can pick another academic year or All Time.

  • Only the clinician who logged an event can edit or delete it.

✅ Good to know: Your school admins see outreach events in Practice HQ too, in the activity feed and in the community events count on the Analytics snapshot. See Documents, analytics and community outreach.

Frequently asked questions

  • I can't see Groups or Community in my sidebar. Why?

Each is a separate add-on that Oasys turns on for your practice. Ask your school admin to contact Oasys support if your school needs it.

  • Can I add individual students to a group?

No. School groups record the number of attendees, not a list of students. Document individual work in each student's chart.

  • Can I edit a colleague's group or outreach event?

No. Only the clinician who created a group can edit it, and only the clinician who logged an event can edit or delete it. You can still add your own session notes to a colleague's group.

  • What's the difference between an Open Group and a Closed Group?

An Open Group lets new members join anytime. A Closed Group has fixed membership, with no new members after it starts.
