đ„ïž For practices in Charter School mode. This article is for school admins using the Practice HQ Documents, Analytics and Community tabs, which need the Documents, Analytics and Community permissions.
This article explains how to share document templates with your clinicians, read your school's analytics by academic year, and log community outreach events.
In this article
1. The document library
In Charter School mode, the Documents tab is a Document library: templates that all clinicians at your school can download and use with students.
Go to Documents and click Add template.
Enter a Title and, if you want, a Description.
Click to upload, or drag and drop, a PDF, DOC or DOCX file up to 10MB.
Click Upload Template.
Click a template to preview it.
Use the menu on a template to Rename or Delete it. Deleting is permanent and can't be undone.
The library is for uploaded files only. The form builder and AI document generator aren't available in Charter School mode.
You need the Documents permission.
2. Assessments and document requirements
Assessments are filled in by clinicians from the student's chart, not from Practice HQ.
If the Documents Library is turned on for your school, clinicians add assessments from a student's Documents Library: GAD-7, PHQ-9, PSC-35, Intake Assessment and the intake re-assessment. See Sessions, notes and assessments with students.
Clinicians fill these in on the student's behalf and sign them. Students and guardians don't get documents to fill in, because they have no portal.
If your practice has Document requirements turned on, the Compliance tab works the same as in a regular practice. See Compliance tracking and IM+CANS exports.
3. Analytics by academic year
In Charter School mode, Analytics has four pages: Snapshot, Sessions, Clients (or Patients) and Groups. You need the Analytics permission.
Use the year selector at the top right to choose an academic year, such as AY 2025â26, or All Time. It starts on the current academic year.
An academic year runs from August 1 to July 31.
The year you pick applies to every page.
Snapshot
Total Sessions: attended sessions in the selected year. No-shows and cancelled appointments aren't counted.
Current Active Clients: your current roster, whatever year you pick.
Total Providers: active providers across all schools.
Community events: events logged in the selected year. Shown if you have access to Community.
Click Current Active Clients, Total Providers or Community events to open the Clients, Providers & admins or Community tab. Total Sessions can't be clicked.
Below the cards, build your own chart with Show me. Choose Sessions, Clients or Groups, then what to group by (for example School, Grade Level or Provider Role), then a time range.
đĄ Tip: Pick the academic year first. Most cards and charts follow it, so you can compare one school year with another.
4. The Sessions, Clients and Groups pages
Each page breaks the selected year down a different way.
Sessions: Sessions by Provider Role, Sessions by School, Sessions by Day of Week, Sessions by Type, Sessions by Mode and Sessions by Service.
Clients: students seen by school, students seen by grade level, a growth trend (cumulative new enrollments in the selected period), and an Ethnicity Breakdown.
Groups: the number of groups, group sessions and average attendees per session, plus a Group breakdown table. This shows data if School Groups is turned on for your school.
On Sessions by Mode and Sessions by Service, filter by provider and use Export â Export as Excel or Export as PDF.
The Reports section, the AI analytics query and billing analytics aren't part of Analytics in Charter School mode.
5. Community outreach
If community outreach is turned on for your school, the Community tab (labeled Outreach when the sidebar is collapsed on a smaller screen) records outreach events, such as a mental health awareness workshop.
Go to Community and click Log new event.
Enter the Event Name, Date, Number of Attendees and Associated School. These are required.
Add a Start Time (optional), End Time (optional) and Event Details if you want.
Click Log Event.
Use Search events..., the All Schools filter and the date picker to find events. The list starts on the current academic year.
Click an event to view it.
Only the person who logged an event can edit (Update Event) or delete it.
Clinicians can log events too, from their own Community tab. See School groups and community outreach.
You need the Community permission.
â Good to know: Community outreach and School Groups are separate add-ons. If you don't see the Community tab or group data, contact your Oasys representative.
