Compliance documents (IM+CANS)

How to track required documents on the Compliance tab, complete an IM+CANS, request the client signature, and manage reminders.

Written by Jana Hindiyeh

🖥️ For providers using the Oasys web app. This guide applies only if your practice uses compliance tracking for required documents such as the IM+CANS.

This article walks you through the Compliance tab: what each status means, how a required document is flagged and assigned, and how to complete and submit an IM+CANS. It also covers requesting your client's signature, what your client sees, due-date reminders, and what your practice admins see.

In this article

1. What compliance tracking is

Compliance tracking keeps a list of documents your clients are required to have, such as an IM+CANS, with a due date for each one.

  • Each item on the list is a requirement: one client, one document, one due date.

  • You see the requirements assigned to you, for your clients.

  • A requirement can be added automatically because of the client's insurance, flagged by hand by you or your practice, or added when a reassessment is due.

  • Oasys sends you reminders as each due date gets close, and every day once it's overdue.

⚠️ Important: If you don't see a Compliance tab in your sidebar, your practice doesn't use compliance tracking. To turn it on, contact your practice admin or Oasys support.

2. The Compliance tab

The Compliance tab shows every required document you're responsible for and where each one stands.

Summary cards

  • Needs My Action — requirements waiting for you to assign a document or fill in a form.

  • Awaiting Others — in progress and waiting on your client or your supervisor to sign.

  • Overdue — open requirements past their due date.

  • Due Within 7 Days — upcoming due dates in the next 7 days, not counting overdue items.

The Compliance Tasks table

  • Columns: Client, Document, Status, Client signature, Due date, Source, and Actions.

  • Source shows why the requirement exists: Insurance-Required, Manually Flagged, or Re-assessment Due.

  • A requirement with no due date shows Not set.

  • The table is sorted by due date, earliest first. Click a column heading to sort by it instead.

Filtering the list

  1. Click Filters.

  2. Narrow the list by client, Due From, Due To, or Status.

  3. Turn on Show Overdue Only to see only overdue items, or Show Dismissed to include dismissed ones.

  4. Click Clear all to reset the filters.

💡 Tip: By default, the table shows requirements due in the next 6 weeks. To see requirements due later, change Due To in Filters.

3. What each status means

The Status column tells you what the requirement is waiting for.

Status

What it means

Pending Assignment

The document is required but hasn't been assigned yet. Use Assign to start it.

Pending Completion

The document has been assigned but isn't finished.

Awaiting Therapist

Waiting on you, the assigned provider.

Awaiting Patient

Waiting on your client.

Awaiting Supervisor

Submitted and waiting for your supervisor's sign-off.

Completed

The requirement is met.

Dismissed

The requirement was dismissed with a reason. Dismissed items are hidden unless you turn on Show Dismissed.

Overdue isn't a separate status. Any open requirement past its due date counts toward the Overdue card and appears when you turn on Show Overdue Only.

The Client signature column

For an IM+CANS, this column tracks the optional client signature separately from the clinical status. Hover over the icon to see its label:

  • Not sent — no signature has been requested. The column shows a dash.

  • Awaiting client signature — requested, not yet signed.

  • Signed — your client signed.

  • Refused — your client declined. The tooltip shows their reason if they gave one.

4. Flagging and assigning a required document

Most requirements are added for you, but you can also flag one yourself and then assign it.

Flagging a document as required

  1. Click Flag Document as Required.

  2. Choose the client and the Template.

  3. Optionally, set a Due Date Override (Optional).

  4. Click Flag as Required.

A client can have only one open requirement for the same document. If one already exists with a different due date, Oasys asks whether to keep the existing date or update it.

Assigning the document

  1. Open the row's Actions menu and choose Assign.

  2. Confirm in the dialog. If the due date is more than 30 days away, you'll see a warning and the button reads Assign Anyway.

  3. Choose Pre-fill from Previous or a blank form if your client has a previous completed assessment of the same kind.

Other row actions

  • View — opens the client's Documents so you can work on the assigned document.

  • Change due date — updates the due date of an open requirement.

  • Dismiss — removes a requirement that hasn't been assigned yet. You must enter a reason, then click Confirm Dismissal.

5. Completing and submitting an IM+CANS

You, the assigned provider, fill in the IM+CANS. Your client only signs it, and only if you ask them to.

  1. Open the row's Actions menu and choose View, then open the IM+CANS from the client's Documents.

  2. Fill in each section. Click Save as Draft at any point to keep your progress, and Next to move to the next section.

  3. Click Submit for Supervisor Review if you're a supervised clinician, or Complete Form if you're not.

  • Oasys checks that required fields are filled in before it lets you submit. You can save a draft at any time.

  • If you're supervised, the IM+CANS moves to Awaiting Supervisor. Your supervisor reviews it, can edit it before signing off, and completes the sign-off from their Supervision tab.

  • If you're not supervised, it moves straight to Completed.

  • Once the IM+CANS is completed, Oasys adds the next reassessment to your list with its due date. It shows Re-assessment Due as its source.

Reopening a submitted IM+CANS

You can't edit an IM+CANS after you submit it. If it needs changes, reopen it:

  1. Open the row's Actions menu and choose Reopen for editing.

  2. Enter the reason for reopening and confirm.

⚠️ Important: Reopening keeps the clinical answers but removes existing signatures, and returns the IM+CANS to you as a draft. You'll need to submit it again. Reopen for editing isn't available once your practice has exported the IM+CANS.

6. Requesting your client's signature

Your client's signature is optional and separate from completing the form.

  1. Submit the IM+CANS. Oasys asks whether you want to request your client's signature.

  2. Choose Request signature to send it, or Not now to skip it for the moment.

  3. Pick the portal login that should receive it, if your client has more than one, then click Send request.

  • If your client has exactly one portal login, the request goes there without asking.

  • If your client has no portal login, you'll see "Add a portal login before requesting a signature." and nothing is sent.

  • To request it later, open the document's ⋮ menu in the client's Documents, or the row's Actions menu on the Compliance tab, and choose Request client signature. This is available while the IM+CANS is Awaiting Supervisor or Completed, until a signature has been requested.

Sending a signature reminder

  • While the signature is pending, choose Send reminder from the row's Actions menu. This works even after the IM+CANS is completed.

  • You can send one reminder every 24 hours.

✅ Good to know: Whether your client signs, declines, or never responds doesn't change the IM+CANS status, the requirement, or when the next reassessment is due. Your supervisor and your client can sign in either order.

7. What your client sees

Your client only sees an IM+CANS once you request their signature.

  • Only the portal login you chose is notified, by email and possibly by text message. The message explains that they're being asked to review and sign, not to fill in the form.

  • They open it from the Documents tab in their portal.

  • They complete their signing fields, such as initials, date of birth, printed name, signature, and date. A parent or guardian section appears when it applies.

  • They can also decline to sign and add an optional reason.

  • Once they sign, the document shows as completed for them, even if it's still waiting for your supervisor.

8. Due-date reminders

Oasys reminds you, the assigned provider, about required documents that are coming due. Clients, supervisors, and practice admins don't receive these reminders.

  • You get a reminder 7 days before the due date, the day before, and on the due date.

  • Once a requirement is overdue, you get a reminder every day until it's completed or dismissed.

  • Reminders come by email, and by text message if text notifications are turned on for your account.

Turning reminders off

  1. Go to Settings → Notifications.

  2. Find Document Reminders in the Documents group.

  3. Turn it off for email, text, or both.

One setting controls all four reminder timings. The Document Reminders setting only appears if your practice uses compliance tracking.

9. What practice admins see

Practice admins track compliance for the whole practice from Practice HQ → Compliance.

Frequently asked questions

  • Why don't I see a Compliance tab?

Your practice doesn't use compliance tracking. Contact your practice admin or Oasys support to turn it on.

  • Is the client's signature required to complete an IM+CANS?

No. The signature is optional and separate. The IM+CANS is completed when you submit it, or when your supervisor signs off if you're supervised.

  • Can I send a signature reminder after the IM+CANS is completed?

Yes. As long as a signature has been requested and is still pending, choose Send reminder from the row's Actions menu. You can send one every 24 hours.

  • Why can't I see a requirement that's due in a few months?

The table shows requirements due in the next 6 weeks by default. Open Filters and change Due To to see further ahead.

  • Can I stop the daily overdue emails?

Yes. Turn off Document Reminders in Settings → Notifications. This turns off all due-date reminders, not just the overdue ones.

  • I made a mistake after submitting. Can I fix it?

Yes, as long as your practice hasn't exported it. Choose Reopen for editing, enter a reason, make your changes, and submit again. Signatures are removed when you reopen.
