This article answers a common question: do students and guardians get a portal, invites or notifications in Charter School mode? It also explains how student records are kept instead.

1. The short answer
No. In Charter School mode, students and guardians don't use Oasys directly.
They have no portal account and can't be invited to one.
Oasys doesn't contact them by email, text, push notification or appointment reminder.
Your school's team keeps the student's record in Oasys.
2. What students and guardians don't receive
This section lists what's switched off for students and their families.
No portal invites. Practice HQ doesn't offer Send invites or account invites for students, because charter-school records don't use portal invites.
No emails, texts or push notifications. This includes guardians.
No appointment reminders, so students aren't reminded about sessions by Oasys.
No account changes. A student's record can't be converted to a minor or an adult account from Practice HQ.
â ď¸ Important: While a student is active on your school's roster, Oasys sends nothing to them or their guardians. If a student needs to know about a session, your team tells them in the usual way at your school.
3. How student records are kept
Without a portal, your school's team creates and maintains each student's record.
Clinicians add students with Quick intake. It asks for the student's name, date of birth, grade, ethnicity and school, and doesn't ask for an email, phone number or guardian. See Adding a student with Quick intake.
The record belongs to your school, so any clinician in your practice can open it. See Caseload, walk-ins and switching assignment.
Assessments are filled in by a clinician on the student's behalf and signed by the clinician. See Sessions, notes and assessments with students.

Frequently asked questions
Can a parent or guardian get portal access?
No. Charter-school records don't use portal invites, for students or their guardians.
Will a student get a reminder before their session?
No. Oasys doesn't send appointment reminders to students or guardians while the student is active on your roster.
Can I add a guardian's email when I add a student?
No. Quick intake doesn't have email, phone or guardian fields.
Why don't I see Send invites on the student list?
Invites aren't used in Charter School mode, so Practice HQ doesn't offer them for students.
Does Oasys record sessions with students?
No. Oasys never records sessions. Where AI notes are turned on, it only transcribes, and the transcript is deleted once the note is signed and locked.
