Branding and your subscription

How to choose your Practice HQ theme and read your Oasys subscription, seats and claims processing fees.

Written by Jana Hindiyeh

🖥️ For practice admins using Practice HQ on the web. Theme and branding needs the Settings permission, and Subscription and fees needs both Settings and Billing.

This article shows you how to choose your Practice HQ theme, where your practice logo is set, and how to read your Oasys subscription and claims processing fees.

In this article

1. Theme and branding

Each user chooses their own Practice HQ appearance.

  1. Go to Settings → Account → Theme & branding.

  2. Under Appearance, choose a theme.

  • System: follows your device theme (light or dark).

  • Light: a clean, bright interface for daytime use.

  • Dark: easier on the eyes at night.

  • Ocean: calming blue tones.

  • Oasis: warm desert colors with purple, gold and green accents.

💡 Tip: Your theme is a personal preference and doesn't affect other users in the practice. If you see "Appearance settings are unavailable for your role," your account can't save a Practice HQ theme preference.

Your practice logo is set in Settings → Organization → Practice details, not here. It shows at the top of the Practice HQ sidebar and in your clients' video session room. See Practice details, locations and rooms.

2. Your practice subscription

Subscription and fees shows your Oasys platform subscription. It's view-only.

Go to Settings → Account → Subscription & fees. You need both the Settings and Billing permissions. If your practice is set up in Charter School mode, this page is hidden.

  • Practice Subscription: your Plan, Billing interval (for example Monthly or Yearly) and status.

  • Seats: shown as "N active / M seats", with your total number of providers and how many are inactive or in another status.

  • Seat breakdown: each seat type, its count and cost, and a Monthly total.

If your practice has no self-serve subscription on file, the page says "Your practice subscription is managed by Oasys. Contact your account representative for details."

⚠️ Important: There are no controls here to change your plan or add seats. To add seats, change your plan, or ask about pricing or fees, contact your Oasys representative.

3. Claims processing fees

If your practice bills insurance through Oasys, claims processing fees appear under Claims Processing Fees on the same page.

  • These fees cover insurance claims processing and are separate from your practice subscription.

  • Outstanding invoices show a Pay Now button.

  • Paid invoices are under Show paid invoices.

  • If nothing is due, the page says you're all caught up, with no fees due.

💡 Tip: A red dot on Settings in the sidebar, and next to Subscription & fees, means there are claims processing fees that need attention.

⚠️ Important: This page is about your Oasys platform subscription, not client payment collection. Client payments are set up in the Billing tab. See Setting up practice billing.
